Information Collected

Scout & Aerial may collect information you provide directly, including name, email address, optional additional contact email, phone number, job address, access notes, service selections, estimate details, appointment date and time, acreage or square footage entries, map-drawn coverage areas, pin coordinates, and other project notes.

When you use map, address, or booking tools, technical information may also be processed, such as approximate location inputs, browser/device information, page requests, error logs, and security-related metadata.

Photos, videos, floor plans, site visuals, notes, invoices, and delivered files may contain property information or other details needed to perform and document the requested services.

How Information Is Used

Information is used to create estimates, reserve appointments, create calendar events, send appointment details, calculate travel or coverage estimates, prepare work orders, perform requested services, deliver files, invoice customers, respond to questions, maintain records, improve the booking workflow, and protect the website and business.

If your email is added as a Google Calendar guest, Google may send the official calendar invitation and appointment updates. The event details may include the appointment time, address, selected services, estimate, contact details, and customer notes.

Scout & Aerial does not sell customer personal information.

When Information Is Shared

Information may be shared with service providers and tools that are reasonably needed to operate the website, booking system, calendar events, maps, email, payment, file delivery, recordkeeping, or customer support.

Examples include Cloudflare for hosting and security, Google Maps for address and map functionality, Google Calendar and Google Workspace for scheduling and records, Resend or email providers for notifications, Stripe when payment links or card payments are used, and media delivery platforms used to deliver ordered files.

Information may also be shared when required by law, to protect rights or safety, to resolve disputes, to collect payment, or with your permission.

Payments

Payment card information is handled by the payment processor, not stored directly by Scout & Aerial. Scout & Aerial may receive payment status, invoice, receipt, customer, and transaction information needed for business records and customer support.

Retention and Security

Scout & Aerial keeps records as needed for service delivery, business operations, accounting, legal, tax, dispute-resolution, insurance, and customer-support purposes.

Reasonable administrative and technical safeguards are used, but no website, email system, calendar system, storage platform, or internet transmission can be guaranteed completely secure.

Your Choices

You may contact Scout & Aerial to request correction, review, or deletion of reasonable customer information where practical and legally allowed. Some records may need to be retained for invoices, accounting, legal compliance, dispute handling, or business records.

You can decline optional fields, but missing information may limit the ability to estimate, book, access, or complete work. If you do not want a calendar invitation, contact Scout & Aerial before booking or as soon as possible after booking.
